How long can I access my ePortfolio form for both read access and read-write access?

(a) If you have an active ePortfolio account you can read your form at any point.

(b) You may however have experienced a situation where you are looking to create or edit a form and have not been able to. This article explains why this is.

You have different access to create or edit your ePortfolio form depending on whether you have (or how recently you had) an active post/ programme related to the form you are trying to create.

What are you looking to do? Access options
Have Read access Not time limited. You can access your ePortfolio to read it at any point if you have a live account.
Have Read and Write access Only available if you are currently in relevant post/ programme, or were in a relevant post/ programme within a certain number of days as determined by default time-limits OR (if it exists) your site's specific access policy*.

In other words, if you have left post for a substantial time you will not be able to edit your form.

The table below shows the default time-limits (after end of post) for having both read and write access to your form.

Supervisor 270 days after end of post
Limited Administrator 365 days after end of post
Administrator 365 days after end of post
Assessor

210 days after end of post


There are also some site-specific exceptions as follows: 

  • For all roles within the RCOG site, posts are read/write until 3 years after the end of the post.
  • For all roles within the FSRH site, posts are read/write until 1000 days after the end of the post.
  • For the FOUNDATION site, there are different rules, specific to Foundation roles:

Educational Supervisor 3 months after end of post with the same grade 
Limited Administrator 3 months after end of programme
Foundation Programme Director 3 months after end of programme
