2.5.5 Download Portfolio

You can download and save a PDF containing a snapshot of any ePortfolio information you select, at the time you create it. You could then use this as evidence for interviews/assessment, for example.

 

1. Accessing the Download Portfolio facility

Foundation Trainees: From the top navigation, in the "Home" menu, select the “Download Portfolio” option.

All other Trainees/Students/Participants: From the top navigation, in the "Profile" menu, select the "Download Portfolio" option.

Supervisors/Mentors/Administrators: The Download Portfolio facility is only available to the person to whom the ePortfolio belongs - it is not possible to download the Portfolio of another user.

 

2. Creating a new downloadable PDF file

The main “Download Portfolio” page contains a green button labelled +Create via which you can create new downloadable files, plus a list of any files you have previously generated via this facility.

From the main “Download Portfolio” page, click the green button labelled +Create.  You will then see a page where you can select the items you wish to include in a new downloadable file.

This facility enables you to create PDF files containing a selection of up to 50 items (curricula and/or forms) from within your ePortfolio.  You can create multiple files, arranging items into separate files as you wish.

To add a curriculum to the downloadable PDF file:

  • Select the round radio button labelled “Curriculum / Competencies”.
  • The “Available Items” panel will be populated with the curricula within your ePortfolio.
  • Ensure the curricula you wish to include is/are highlighted in the available items panel.
  • Click/press the button with the rightward facing arrow to move the highlighted curricula to the “Selected Items” panel.

To add a form to the downloadable PDF file:

  • Select the round radio button labelled “Forms”
  • Select the desired “Year or Post” in the drop-down adjacent to the “Forms” radio button.
  • The “Available Items” panel will be populated with the forms from within the selected “Year or Post”.
  • Ensure the form(s) you wish to include is highlighted in the available items panel.
  • Click/press the button with the rightward facing arrow to move the highlighted form(s) to the “Selected Items” panel.

To finish and create the downloadable PDF file:

  • Highlight items in the “Selected Items” panel and use the buttons with upwards and downwards facing arrows to arrange the items in the order in which you would like them included in the downloadable file.
  • Ensure the “Include Post/Supervisor Details on Overview Page” and “Show linked items on form downloads” boxes are checked as per your personal preference.
  • Click the green button labelled “Create PDF” to start the PDF generation process.
  • The downloadable PDF file will be generated and, when complete, you will be returned to the main “Download Portfolio” page.

 

3. Downloading a generated PDF file

On the main “Download Portfolio” page , you will see a list of any files you have previously generated via this facility.  Beside each file is a blue button labelled “Actions” that when clicked reveals a menu containing four options.

To download a file, click the blue button labelled “Actions” then click on the “View” menu item.

If the file does not appear to download, please ensure you do not have a pop-up blocker running that has prevented the file from opening. 

 

4. Sharing a generated PDF File

On the main “Download Portfolio” page , you will see a list of any files you have previously generated via this facility.  Beside each file is a blue button labelled “Actions” that when clicked reveals a menu containing four options.

To share a file, click the blue button labelled “Actions” then click on the “Share” menu item.

You will find a link that you can send to anyone by copying and pasting the link into an email.

The person who receives this link can then download the PDF until the link expires.
